Separate fixed event costs from optional extras
Identify what the stand package already includes before ordering duplicates. Venue internet, furniture and electricity can be priced very differently from normal office purchases, so compare them against your real need rather than assuming every option is essential.
Budget for the final metre
Getting equipment to the city is not always the same as getting it onto the stand. Freight handling, loading access, storage of empty packaging and timed collections can matter as much as the long-distance transport itself.
Include the follow-up cost
If the purpose of exhibiting is sales, the work continues after breakdown. Include staff time for lead processing, demonstrations, quotations or sample fulfilment when you review whether an event was worthwhile.
