What should a trade show lead sheet capture?
Capture only what your team can actually use. Contact details matter, but the highest-value fields are often the visitor's interest, urgency, agreed next action and the person responsible for following up. A stack of names with no context quickly becomes difficult to prioritise after the event.
Record the next action before the visitor leaves
Write “send specification”, “quote next week” or “book technical call” rather than a vague note such as “interested”. If you use a priority rating, define it for the team before the event so “hot” means the same thing to everyone.
Handle personal data carefully
Keep completed paper forms controlled during the event and transfer only what you need into your normal business system. Avoid collecting unnecessary sensitive information. The free sheet is intentionally simple so it can act as a temporary operational backup rather than a customer database.
