A good trade show packing list is deliberately operational. It prevents small missing items from becoming expensive problems on setup morning and helps the team distinguish essential opening items from convenient extras.

Signage and printed materials

• QR contact, booking or product sign
• Paper lead capture sheets
• Staff rota and event checklist

Technology and demos

• Laptop or tablet and charger
• Phone chargers and power banks
• Presentation adapters and data cables
• Offline copy of presentations, demos and important PDFs
• Connectivity backup where the live demo depends on internet access

Stand and display equipment

• Display products or samples
• Stand graphics or table covering
• Permitted tape, cable ties, scissors and removable fixings
• Cleaning cloth and wipes
• Storage boxes for spare materials and personal items

Team essentials

• Exhibitor passes and badges
• Travel, parking and loading instructions
• Water and light refreshments

Breakdown and return journey

• Original packaging for fragile equipment
• Return freight labels or courier details
• Inventory check before leaving the venue
• Photographs of the finished stand for future planning

How to make the checklist more reliable

Split the list into “show-stopper if missing”, “needed on opening”, and “backup / convenience”. Pack the critical group so it is easy to verify without unpacking every box. Assign named ownership for unusual items rather than assuming somebody else has packed them.

If products or equipment are travelling separately by freight, keep a second short arrival checklist for the venue. The team arriving by car or train should still have enough essentials to start setup while waiting for freight access.
