Digital signage can make a booth more flexible: a screen can demonstrate a product, rotate use cases or show information that would require several printed panels. It also adds failure points. Good planning assumes the venue internet may be slow, the screen may face glare and a cable may be missing.
Choose content for the environment
A trade show floor is noisy and distracting. Design content that works without sound and does not depend on visitors watching a long sequence from the beginning. Short loops, clear captions and demonstrations with immediate visual meaning are safer than presentation slides filled with text.
Prepare local playback
- Download the final video or presentation to the playback device.
- Keep a second copy on a USB drive or another device.
- Do not depend on streaming for the primary booth content.
- Test the exact files on the exact hardware before travel.
Power and cabling
- Confirm the booked power supply and outlet location.
- Pack the correct display cable, adapters and approved extensions.
- Secure cables so they do not create trip hazards.
- Know who is permitted to modify electrical arrangements at the venue.
Screen setup
- Check brightness against venue lighting.
- Disable sleep, automatic updates and intrusive notifications.
- Use full-screen playback where appropriate.
- Keep controls out of casual visitor reach.
- Position the screen where staff and visitors do not continuously block it.
QR codes on digital signage
QR codes can be useful, but animated or rapidly changing screens can make them hard to scan. Give the code enough screen time, maintain strong contrast and provide a short URL as backup. Test from realistic viewing distance.
Sound
Many venues restrict amplified sound, and neighbouring exhibitors may object even where it is technically permitted. Design the primary content to work silently. If audio is important, confirm organiser rules and consider headphones or directional solutions where appropriate.
Fallback plan
Decide what the booth looks like if the screen fails. A printed product sheet, static sign or QR poster can prevent the whole display proposition disappearing because one device stops working.
Opening checklist
- Power on all screens and devices.
- Confirm the correct content is running.
- Check playback from start to finish.
- Test QR links.
- Check glare from the aisle.
- Confirm cables are safe and tidy.
- Put backup media somewhere the team can find it.
