Before leaving the venue
Make sure captured leads are not spread across phones, paper sheets and badge-scanner exports with no owner. Photograph or secure any paper forms, flag urgent prospects and write down promises while they are still fresh.
End-of-event checks
- Identify urgent or time-sensitive leads
- Record any promised documents, quotations or calls
- Assign an internal owner
- Confirm contact details are legible and complete
- Secure paper forms containing personal data
Within 24–48 hours
Send the information you explicitly promised first. A useful follow-up refers to the conversation, provides the next useful item and proposes one clear next step. Avoid sending every visitor the same generic “thanks for visiting us” message if the conversations were materially different.
Prioritise by fit and next action
Event excitement can make every lead feel important. Sort them using the criteria your business normally uses: need, fit, authority, timing, geography or product relevance. The purpose is not to discard people but to give the strongest opportunities the fastest, most appropriate response.
Track completion, not just sending
A follow-up email is not the end of the process. Where appropriate, set reminders for the agreed call, quote date, sample shipment or demonstration. Make the event source visible in your CRM or sales system so results can later be attributed.
Review the event as an operating system
Record which materials ran out, which questions came up repeatedly, which demo attracted attention and which items travelled unnecessarily. Those notes are often more useful for the next event than an abstract post-show debrief.
